Booking a Rovaniemi Apartment for Someone Else: Parents, Friends or Colleagues
Booking for parents, friends or colleagues? Settle the lead guest, traveller details and lockbox code before you pay, and the arrival goes smoothly.

Booking a Rovaniemi apartment for someone else — your parents, a friend, a visiting colleague or a family you want to surprise — is perfectly possible, but it works best when you settle three things before you pay: whose name is on the booking, who handles the check-in messages, and who provides the traveller details that Finnish accommodation rules require. Get those right and the stay is smooth; leave them vague and the person who arrives at the lockbox at midnight is the one who pays for it.
We are Joona and Alla, local hosts. Guests regularly book Nine Pines for relatives or friends, and we have learned what to ask. If you are planning a winter booking for others, check live dates on Airbnb or Booking.com and then read on.
Who should be the lead guest?
The person who makes the booking is the one the platform and the host deal with. Decide whether that should be you, paying and organising from home, or the person who will actually travel. Both work. Booking in your own name is simplest for payment and cancellation; booking in the traveller’s name makes the arrival simpler because the host’s messages go straight to them.
A good compromise is to book yourself and then introduce the traveller to the host in a first message: give their name, their phone number or WhatsApp, the arrival date and the number of people. That way the host can write to them directly, and you stay in the loop. Our post on messaging your Rovaniemi host has a sample message.
The traveller form and passport details
Finland asks accommodation providers to collect traveller details for guests staying in short-term rentals, so a host will ask for names and passport or ID information for the people who actually stay. If you booked for someone else, make sure they know this is coming and have their documents ready. It is a routine step rather than a sign that something is wrong. Our Finnish traveller form explainer shows what to expect.
Arrival, the lockbox and the code
At Nine Pines check-in is from 16:00, any time, also late at night, using a code lockbox. The code and a photo guide are sent three days before arrival — to the person the host has been messaging. If you are the booker and not the traveller, forward the message the moment it arrives, and ask the traveller to save a screenshot, because mobile data abroad is not always reliable. We cover the winter side of the lockbox in lockbox check-in in a Rovaniemi winter.
Tell the host the arrival time and flight number in advance. We live a few minutes away and usually answer within the hour, but a short message beforehand makes everything easier if a flight is late.
What to tell the travellers about the apartment
People who did not choose the apartment do not know what to expect. Send them a short summary: the address (Hillapolku 3, 96500 Rovaniemi, in the Korkalovaara neighbourhood, 3.5 km west of the centre), the floor and the stairs, the bed layout, and whether there is a car-park space. For Nine Pines this means: second floor, no lift, three bedrooms, one free parking space in the yard, a washing machine and a tumble dryer, and a bus stop 150 m from the door. Our quick answers page is easy to forward.
If one of the travellers has mobility problems, mention it before booking. The stairs are a real limit, and our post on apartments without a lift explains why we are direct about it.
Paying, deposits and who is responsible
If you pay, you are the contract holder and the platform’s rules apply to you. Make it clear within the family or group who owns the cost and what happens if a plan changes. Cancellation terms depend on the policy shown at booking, so read them before you confirm and tell the travellers. We wrote about the group side of this in who books and who pays.
Also think about the house rules. The guests who stay are responsible for following them: quiet hours from 22:00 to 07:00, a maximum of nine guests, no parties. The person who books should pass that on.
Booking as a gift or a surprise
A trip booked as a gift needs one extra step: the traveller must know enough to be able to go. If it is a surprise, you can still plan with the host without spoiling it, as we describe in booking a surprise trip. Give the host a contact who is not the surprised person, and ask to be the one to receive the check-in details.
Booking for clients or colleagues
If the stay is for a work trip, the host needs the names of everyone who will sleep in the apartment, and you should check whether an invoice or receipt from the platform meets your accounting needs. Our post on accommodation for small teams and work trips is the place to start.
A short checklist before you press “book”
- Confirm names, number of guests and arrival date with the travellers.
- Decide who is the contact for the host, and give the host a second contact if you can.
- Tell the travellers about the traveller form and the documents they need.
- Agree who pays, and who deals with changes.
- Send the address, the floor and the arrival instructions as soon as you have them.
More about the apartment itself is on the Nine Pines page, and the guest guide covers check-in and house rules.
FAQ: booking a Rovaniemi apartment for someone else
Can I book in my name and have friends stay?
Yes, but tell the host who will stay, and expect the host to ask for their traveller details.
Who receives the lockbox code?
The person the host is messaging. Forward it to the travellers when it arrives, three days before arrival.
Can the traveller change the dates?
Changes go through the booking holder and the platform, so agree this in advance. See changing or extending a booking.
What if the traveller does not speak English?
Write the key information in their language or send photos. The photo guide for check-in helps a lot.
